Legal
Privacy Policy
This policy explains what information Zahlen Financial collects, how we use it, and the choices you have. It applies to zahlenfinancial.com and the Zahlen payment-recovery service.
1. Who we are
Zahlen Financial (“Zahlen,” “we,” “us,” or “our”) provides payment-recovery intelligence for subscription businesses. If you have questions about this policy or our handling of personal information, contact us at service@zahlenfinancial.com.
2. Information we collect
Account and registration information
When you create a Zahlen account, we collect your username, email address, password (stored as a salted hash, never in plain text), account and tenant identifiers, and related timestamps and audit records. If you submit the optional public registration form, we collect the name, email address, postal address, and phone number you provide. If you contact us, we collect your name, email address, message, and any information you choose to include.
Payment-recovery data you upload
To provide the service, customers upload decline and transaction logs. Depending on the fields you send, this data may include order, customer, and subscription identifiers (which are pseudonymous identifiers chosen by you), merchant name and identifier, transaction timestamp, amount, currency, issuing bank, card BIN (the first six to eight digits of a card, used to identify the issuing bank), country, card brand, response code, authorization identifier, authorization latency, and merchant category code.
Zahlen does not ask for or store full card numbers (PANs), card verification values (CVVs), PINs, magnetic-stripe data, or customer names and addresses as part of the payment-recovery service. Please do not include that information in files you upload.
Technical, usage, and security information
When you visit our website or use the service, our servers and infrastructure providers
may record technical information such as your IP address, browser and device information,
the pages you request, timestamps, referring pages, and security and audit logs. We use a
session cookie named zahlen_auth_session to keep you signed in.
Cookies and similar technologies
We use strictly necessary cookies to operate the service, including the session cookie described above. Our public homepage loads a measurement pixel provided by Roku Advertising, which may receive your IP address, device and browser information, and the page you visited. If you choose to play an embedded YouTube video, YouTube may set cookies and receive your IP address and device information. Some account pages load fonts from Google Fonts, which receives the request for the font files. We do not use the payment-recovery data you upload for advertising.

4. Legal bases for processing
If you are in the European Economic Area, the United Kingdom, or Switzerland, we process personal information on the following legal bases: performance of a contract with you; our legitimate interests in operating, securing, and improving the service; compliance with legal obligations; and consent where we ask for it. You may withdraw consent at any time without affecting processing that occurred before withdrawal.
5. How we share information
We do not sell personal information. We share information only as needed to operate the service, and only with parties bound by appropriate confidentiality and data-protection terms:
- Infrastructure and hosting providers that run our servers, storage, and backups.
- Security, analytics, and measurement providers that help us operate and protect the service, including the Roku measurement pixel described above.
- Payment processors and financial institutions, at your direction, when you connect Zahlen’s recommendations to your processor.
- Professional advisers, such as auditors, accountants, and lawyers, where necessary.
- Legal and safety disclosures, when required by law or necessary to protect rights, safety, or the integrity of the service.
- A successor entity in connection with a merger, acquisition, financing, or sale of assets, subject to this policy.
6. International transfers
We may process information in countries other than the one where you are located. Where required, we use appropriate safeguards for cross-border transfers, such as standard contractual clauses, and require our service providers to protect information consistently with this policy.
7. Data retention
We retain account information for as long as your account is active and for a reasonable period afterward to comply with legal, tax, accounting, and security obligations. We retain uploaded recovery data for as long as needed to provide the service under your agreement, and then delete or de-identify it unless a longer retention period is required by law. We retain audit and security logs for the period needed to protect the service and meet legal requirements.
8. Security
We protect information with administrative, technical, and organizational measures, including encryption in transit, access controls, tenant isolation, least-privilege administration, and audit logging. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you and relevant authorities as required by law.
9. Your rights and choices
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information; to restrict or object to certain processing; to withdraw consent; and to lodge a complaint with your local data-protection authority.
If you are a California resident, you may have the right to know what personal information we collect, use, and disclose; to request deletion or correction; to receive a portable copy; and to limit the use of sensitive personal information. We do not sell personal information or share it for cross-context behavioral advertising. We will not discriminate against you for exercising your rights.
To exercise a right, email service@zahlenfinancial.com. We may need to verify your identity before acting on a request, and an authorized agent may submit a request on your behalf with proof of authorization.
10. Business customers and end customers
When a subscription business uses Zahlen, that business is responsible for the personal information it uploads and for its own notices to its customers. Zahlen acts on the business’s instructions as a processor or service provider. If you are an end customer of one of our business customers and want to exercise a right over data that business uploaded, please contact that business first; we will assist it as required.
11. Children
The service is intended for businesses and is not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided information to us, contact us and we will delete it.
12. Third-party links and embeds
Our website links to third-party sites, such as booksellers and YouTube, and may embed a YouTube video. Those services have their own privacy policies, and this policy does not cover them.
13. Changes to this policy
We may update this policy to reflect changes in our service or the law. We will post the revised policy with a new effective date. If a change is material, we will provide additional notice where required.
